Returning vendor/sponsor?

VOTA is offering a $50 discount to returning vendors and sponsors from 2025 and spring 2026 conferences. This offer cannot be combined with the nonprofit discount. Email office@vaota.org for your discount code.

Q: How many typically attend the Annual VOTA conference? 

A: We typically have a range of attendees from 100 -130 people. Attendees are a mixture of students, practitioners, and educators. A significant portion of our registrants register close to the registration deadline. We typically have final numbers about a week before the conference.

Q: Can I receive a contact list for attendees? 

A: VOTA allows registrants to opt in or out of having their contact information shared with vendors at the time of their registration. Vendors will be provided with the contact information of attendees who have opted in within 2 weeks after the conference ends. Vendors are strongly encouraged to bring their own sign in sheet to collect additional emails from attendees who visit their table. 

Q: Will attendees have specific times to visit my table? 

A: Attendees will have time to visit tables during breaks, poster sessions, and throughout the course of the day. 

Q: What time can I set up? 

A: We anticipate that you will be able to set up your table around 7:30 or 7:45. More detailed information, including exact times and parking instructions, will be shared approximately a month before the event

Q: Are vendor/sponsor tables for Saturday and Sunday? 

A: Tables are available only for Saturday 

Q: Will there be electricity for my table? 

A: This varies from venue to venue. Please reach out to us prior to registering to inquire about availability at this year’s venue

Q: Can I ship you items for my table?

A: Unfortunately, at this time we are not able to have items shipped to the venue or to VOTA members 

NonprofitS

VOTA allots up to 25% of the total available vendor tables as well as sponsorships to nonprofit organizations at a 50% discount. These discounted spots are provided on a first come, first served basis. Requests in addition to the 25% allotment will be placed on a waitlist and these organizations will be notified by 3 weeks before the conference if additional spots are available. 

In addition to access to VOTA's nonprofit discount, VOTA’s community partners can also be entered into a lottery for a free vendor table. Community partners should reach out to join the lottery by August 31st, 2026.  The winner will be notified by September 5th. 

VOTA will consider the opportunity to provide reciprocal vendorship with additional community partners on a case by case basis pending availability of tables and ability for VOTA to attend the organization’s conference.
